Privacy Policy

This notice describes what happens to your information when you use this website, contact the studio, or receive a service. It is written to describe this studio specifically, and every service named in it is one that actually runs here.

1. Introduction

Open Circle Salon (“we,” “us,” or “our”) respects your privacy. This Privacy Policy explains how we collect, use, disclose, retain, and protect information when you visit opencirclesalon.com, book an appointment through our online calendar, call or text the studio, or receive a lash or brow service at our studio at 714 Adams Ave, #202, Huntington Beach, CA 92648.

We are a single by-appointment studio, not a chain. This notice is written to describe what actually happens here rather than every practice a beauty business might have. Where a section says we do not do something, that is a statement about how this business operates today, and if it changes this page changes with it.

This Privacy Policy operates alongside the studio policies shown to you when you book — in particular our cancellation policy and our guidance on arriving with clean lashes — which are presented at the time of booking and on each service page.

2. Information We Collect

This website has no contact form, no newsletter signup, and no customer accounts. There is nothing on it for you to fill in, and we collect nothing from you directly through it. Information reaches us in four ways: when you book, when you contact us, when you are in the studio for a service, and automatically as you browse.

Contact and appointment information

  • Your name, phone number, and email address.
  • The service you selected, the date and time, your appointment history, whether an appointment was a full set or a fill, and notes we keep about what has worked for you.
  • Records relating to deposits, consultation fees, cancellations, reschedules, and missed appointments, including amounts charged under our cancellation policy.
  • Messages between you and the studio, including texts, voicemails, and notes taken during a phone call.

Health and service information

Lash and brow work is applied close to the eye, so some information about your health is necessary to perform it safely.

  • What you tell us about allergies and sensitivities, reactions to adhesive or tint, eye conditions, recent eye procedures, medications, pregnancy, and any prior experience that affected a set.
  • What we observe and record during consultation and service: the length, direction, density, and strength of your natural lashes, your brow growth pattern, the curl and weight your lashes can carry, and the mapping chosen for you.
  • Aftercare guidance given to you, retention and shedding notes between fills, and records of any concern, reaction, removal, or incident.

Payment information

Payments and deposits are handled by our booking provider and its payment processors. We do not receive, handle, or store your full card number. We can see records of what was charged, when, and for which appointment.

Photographs of your lashes and brows

We take close-up photographs of completed lash and brow work, and sometimes before-and-after pairs. These are used to plan and review your service, and some are published as examples of our work. Section 4 explains how published photographs are handled and how to decline or withdraw.

Website and device information

  • Your IP address, approximate location derived from it, browser and device type, operating system, and screen size.
  • The pages you viewed, how long you spent, and how you moved through the site.
  • The search, advertisement, social post, or link that brought you here, including campaign parameters and the click identifier Google attaches to an ad click so a visit can be matched to the advertisement that produced it.
  • Whether a visit led to a booking, so we can tell which advertising is worth paying for.

3. How We Use Information

We use information for these purposes and no others:

  • To schedule, confirm, reschedule, cancel, and document appointments, and to apply our cancellation policy.
  • To perform lash and brow services safely, judge whether a requested set suits your natural lashes, map a set to your eyes, and give you aftercare guidance.
  • To keep a service history so a returning client’s fills, curl, length, and mapping can be matched to what worked before.
  • To take payment, record transactions, and handle refunds or fee disputes.
  • To send appointment confirmations and reminders, and to answer you when you call, text, or message us.
  • To plan, review, and document our own work, including photographs of completed services.
  • To publish examples of our work on this website and on social media, subject to Section 4.
  • To keep this website working, fast, and secure.
  • To understand which advertising, search terms, and pages actually bring clients to the studio, and to measure whether a phone call or booking came from an advertisement.
  • To meet legal, tax, accounting, and insurance obligations, respond to lawful requests, resolve disputes, and defend claims.

4. Photographs and Marketing Media

Photographs on this website and on our social media are of real clients, not stock images. They are close-ups of eyes and brows. They do not include names, and they are not captioned with anything that identifies who you are.

Photographs may be cropped, resized, colour-corrected, or lightly retouched for consistency of presentation. They are not edited in any way intended to misrepresent a result — the point of a before-and-after is that it is accurate.

You can decline. Tell us before or during your appointment that you do not want photographs published and we will keep any we take for service records only. If a photograph of your work is already published and you want it taken down, contact us using the details in Section 14 and we will remove it from this website and from social media accounts we control.

Two honest limits on removal. We cannot recall copies that other people have already saved, reshared, or screenshotted, and we cannot clear search engine caches or third-party archives on demand, though those generally refresh over time. Removing a published photograph also does not delete the service records we are required to keep.

5. Information Sharing and Disclosure

We do not sell your personal information, and we do not trade or rent client lists. We disclose information in the following situations.

Service providers
The companies listed in Section 6 that run our booking calendar, process payments, host this website, measure our advertising, and display our reviews. Each receives only what it needs to do its job.
Advertising measurement
We tell Google Ads that a booking or a phone call happened, so it can attribute that result to an advertisement. We do not send your appointment notes, your health information, or your card details for this purpose.
Studio operations
The owner and any technician or assistant working in the studio, where they need the information to perform your service, manage the calendar, or respond to a concern.
Professional advisers
Accountants, insurers, and lawyers, where needed for tax, insurance, or a legal matter.
Legal and safety
Courts, government agencies, law enforcement, or other parties where required or permitted by law, subpoena, or legal process, or where necessary to protect the rights, property, or safety of clients, staff, or the public.
Business transfers
If the business is sold, merged, or reorganised, client records may transfer as part of it. Any recipient would remain bound by this notice for information collected under it.

6. Website Analytics, Cookies, and Advertising

This site uses cookies and similar technologies. Some are required for the booking calendar to work at all. The rest are for measurement and advertising, and you can switch those off using the controls at the end of this section.

Every third-party service that loads in your browser on this site is named below, with what it does for us, what it can see about you, and a link to its own privacy policy. Each one can see your IP address and browser details by virtue of loading at all.

Vagaro
Runs the booking calendar and takes payment. The details you type into the calendar are entered into Vagaro’s system, and we see the resulting appointment in our Vagaro account. Vagaro also loads Stripe, Google Pay, Affirm, Google Maps, and Google reCAPTCHA inside the calendar.
Google Analytics
Tells us how many people visit, which pages they read, and where they arrived from.
Google Ads
Measures which advertisements lead to bookings and calls, and shows our advertisements to people who have visited before. Sets advertising cookies.
Google Tag Manager
Loads the measurement tags above. It is plumbing rather than a service that collects on its own.
CallRail
Shows a different phone number depending on how you found us, so we can tell which advertising produces phone calls. It records the number you called from, the time and length of the call, and the page or advertisement you were looking at when you dialled.
EmbedSocial
Displays our Google reviews on the site.
Google Maps
Shows the map of the studio location.
Cloudflare
Hosts and delivers this website, and keeps server logs including IP address and pages requested for security and reliability.

Remarketing

We use remarketing with Google Ads, which means you may see our advertisements on other websites after visiting this one. Third-party vendors, including Google, show our advertisements on sites across the internet. We and third-party vendors use first-party cookies (such as the Google Analytics cookie) and third-party cookies together to inform, optimise, and serve advertisements based on past visits to this website.

A second industry opt-out covering a different set of vendors.
Google Analytics opt-out
A browser add-on that blocks Google Analytics entirely.

You can also block or delete cookies in your browser settings, or use a browser that sends a Global Privacy Control signal. Blocking cookies may stop the booking calendar, the map, or the reviews from working.

7. Text Messages and Phone Calls

When you book, Vagaro sends a confirmation by email and text, and sends appointment reminders before your appointment. Those are part of running the appointment, not marketing. If you would rather not receive them, tell us and we will note it, though it may mean you get no reminder.

You can also reach the studio by text. Messages you send us, and our replies, are kept as part of the appointment record so we can honour what was agreed.

The phone number shown on this website may differ depending on how you arrived, because we use call tracking to tell which advertising produces calls. Calls placed to a tracking number are connected to the studio in the ordinary way, and the tracking records the source, time, and length of the call.

We do not record phone calls. Call tracking notes that a call happened, where it came from, and how long it lasted — not what was said. We may write our own notes about what you asked for, in the same way we would for a text or an in-person conversation.

8. Data Security

We use reasonable administrative, technical, and physical measures to protect information from unauthorised access, disclosure, alteration, or loss. Appointment and payment records sit with our booking provider rather than on a computer in the studio, which is deliberate — they are better placed to secure them than we are.

No method of transmission or storage is completely secure, and we cannot promise absolute security. If a breach occurred that affected your information, we would notify you as required by California law.

9. Data Retention

We keep information for as long as it is reasonably needed for the purposes in this notice, and retention differs by record type.

Appointment and service records
Kept while you are a client and for a reasonable period afterwards, so that a returning client’s history, mapping, and reactions are not lost. This is what allows us to pick up where we left off after a gap.
Payment and tax records
Kept as long as tax, accounting, and insurance obligations require.
Photographs
Service photographs are kept with the service record. Published photographs remain published until removed under Section 4.
Website analytics and advertising data
Kept according to each provider’s own retention settings, which are measured in months rather than years.
Server logs
Short-lived, and kept only for security and reliability.

10. California Privacy Rights

California residents may have rights over their personal information, subject to legal exceptions. These can include the right to know what we collect and why, to access a copy, to correct it, to have it deleted, to opt out of certain sharing for advertising, to limit the use of certain sensitive information, and not to be treated worse for exercising any of these rights.

We do not sell your personal information for money. We do use advertising cookies, and under California law using them to show you advertisements elsewhere can count as “sharing” personal information for cross-context behavioural advertising. The opt-out controls in Section 6 stop it, and we honour a Global Privacy Control signal where we are able to detect it.

To make a request, contact us using the details in Section 14. We may need to verify who you are before we act, which for a studio of this size usually means confirming the phone number on your appointments. Some records may be kept where the law allows, including records needed for tax, insurance, safety, or the defence of a legal claim.

11. Third-Party Links and Platforms

This website links to and embeds third-party services, including our booking calendar, a map, our review platform, and our social media profiles. Once you are interacting with one of those, its own privacy policy governs what it does, not this one. We are not responsible for their practices, content, or security. Links to each are in Section 6.

12. Children’s Privacy

This website and our services are intended for adults. We do not knowingly collect personal information from children under 13. A minor may receive a service only with the involvement and consent of a parent or guardian, who is responsible for the information provided at that appointment. If you believe a child has given us information, contact us and we will delete it.

13. Changes to This Privacy Policy

If we add or remove something that handles your information — a form on the website, a new advertising platform, a different booking system — we update this page and change the effective date at the top. Material changes to how we use information already collected will be reflected here before the change takes effect wherever practical.

14. Contact Us

Questions about this policy, or a request about your own information? Call or text the studio and ask for the owner. We are a small studio, so this reaches a person rather than a queue.
